Discussions held and clarifications as provided during the captioned meeting is furnished below: | Sr No. | Queries Raised by the vendors/interested bidders | Clarification provided | | i) | Point No. 39 at page 21 of part I of the tender mentions that “Cost of hourly live streaming of 80 dedicated unit LAN may be quoted in the format for financial bid.” Clarification was sought in the matter | It was clarified that “80” referred to 80 MBps LAN speed which was the band width of the connection. A corrigendum to the tender document will be issued in this effect. | | ii) | Method of quoting the financial bid was asked at the meeting. | It has been informed that the exact quantities which will be required at the time of the event may vary, the bidders may submit a detailed breakup with specifications of each and every item which is required to be supplied. The event is related to the Board of Governors meeting and the Conference of the Central Banks South East Asian Nations. The participants have been explained about the sensitivity and stature of the event. The same has been clarified in the scope of work. The items indicated in the scope of work of the tender document is indicative and not exhaustive. The companies who will quote for this tender have been advised to quote the probable goods and services commensurate with the event with detailed specifications. After the Part I of the Tender is opened, all the bidders found eligible for opening part II will be informed that they are selected and they will be requested to submit the detailed financial quotes in hard copy in a sealed cover. If this format is not technically compatible for uploading at MSTC site then the same may be submitted in a sealed cover at the International Department, RBI, Central Office. The financial quote as per MSTCs format may also be uploaded at the MSTC portal to comply with technical requirements. | | iii) | Payment Terms and conditions were not mentioned in the Tender. | The payment schedule will be discussed and agreed upon during the signing of agreement between two parties after the L1 Tenderer is identified. | | iv) | Can there be any last minute additions? | If there are last minute additions beyond the scope and purview of the tender, which may be the call of the circumstances during the event, that would be negotiated separately. | | v) | How much man-power will be required for the event from EMC side. Should the EMC welcome the guests at the airport? | Airport welcome will be handled by RBI. The EMC has to welcome the delegates at the hotel, assist in check-in and check-out and provide all necessary assistance to each delegate. It may also happen that two to three delegations may land simultaneously. Keeping these factors in mind, the EMC may decide on the manpower and quote accordingly. Per head cost of manpower may be mentioned in order to enable the tender committee to tally the costs. | | vi) | Relaxation for MSME | Since the size of the tender is more than Ten Lakhs no relaxation in EMD will be considered. | These minutes of pre-bid meeting shall be considered as a part of the tender document. Rest of the Terms and condition and specifications of bid document shall continue to remain same. The above amendments / clarifications are issued for the information for all the intending bidders. The submission of bid by the firm shall be construed to be in conformity to the bid document and amendments / clarifications given above. | |
