The ‘Pre-Bid Meeting’ for the captioned work was conducted as per schedule at 12:00 PM, on September 20, 2023, at Meeting Room, 2nd Floor, Estate Department, Reserve Bank of India, Bengaluru. The following staff members of RBI and representative of the prospective bidder were present during the pre-bid meeting:

The following query / issue was raised / discussed during the pre-bid meeting. The clarification given by the Bank with respect to each of this query / issue is as follows:

1 Frequency of treatment is written as monthly as well as whenever felt necessary by the bank It is clarified that if bank increases frequency on need basis, it will be paid extra accordingly for additional work if there is any
2 Vendor informed that some of the chemicals which are mentioned that are banned The list of pesticides mentioned in Tender is indicative in nature. Any of the above-mentioned chemicals, or approved equivalent, which is eco-friendly and conforming to Indian Standards, in water emulsion may be used, for General Pest Control Treatment.
3 Fogging areas in colonies? Providing and carrying out the fogging / fumigation treatment for controlling Mosquito / winged pests for all open areas, stilt parking area, staircase, service shafts/duct, drains/ sewers, sub - station, open parking and covered parking areas, lawns, terraces, lounges, toilets, all surrounding / common areas, pump room, electric rooms.
4 Working on Government holiday? The work may be carried out as per Scope of Work mentioned in Tender.
5 Whether employee should be stationed in office premises? Employee shall be present as and when required.
6 Use of gel for cockroach treatment Any of the chemicals mentioned in the tender, or approved equivalent, which is eco-friendly and conforming to Indian Standards, in water emulsion may be used, for General Pest Control Treatment
7 Whether any exemption for EMD payable by vendor will be provided to the interested/prospective bidders in case they are having MSME Certification and Udyam Registration? As per Terms and conditions of Tender
8 MSTC Registration issue Bank informed the vendor to take up the issue with MSTC contact person as mentioned in tender document
9 Termite treatment required? Special treatment against termites shall be carried out if, required by the Bank and advised in writing, which will be paid separately.
10 Snake control treatment By Use of non-lethal chemical which should acts as a repellent when applied on surfaces and the periphery of structures, creating a barrier to entry of snakes. The contractor should do monthly check-up’s and the treatment measures and inspections should be designed to stops snakes from entering the premises thereby stopping
11 Whether bills will be paid if residents refuse to take service? Bills will be paid if residents refused to take service, if they declare the same in prescribed format.
12 Whether bidder should be a registered member of Indian Pest Control Association (IPCA)? The intending bidder should be a registered member of Indian Pest Control Association (IPCA). Copy of Certificate of registration’’ shall be uploaded, along with Part I of the tender

Note: Above amendment / clarification is issued for information to all intending bidders. Minutes of the pre-bid meeting shall form part of tender. All other parts of the tender document continue to remain unaltered. Submission of tenders shall be construed to be in conformity to the bid document and amendments/clarifications.
