The Pre-Bid meeting for the captioned work was conducted as per schedule on March 20, 2026- 12:00 PM at ZTC Lecture Hall-2, Reserve Bank of India, Chennai. The following staff members of RBI and firms/intending bidders were present during the pre-bid meeting:

The following queries were raised during the pre-bid meeting. Clarifications given by the Bank are as follows:

1. Is there any floor bid price for Service Charges? Yes, minimum Rs. 30,300/- per month service charges should be quoted.

Bidders must ensure while quoting Service Charges that they include all expenditure on providing managerial, supervisory and administrative services to get the work done through their deployed Housekeeping Staff.
2. Whether separate Solvency certificate and Turnover is to be submitted? Bidders should furnish solvency certificate issued by a scheduled bank specifically for the purpose of this tender for an amount equal to ₹165.00 Lakh.

The detailed eligibility criteria for participating in the tender is mentioned at Para 2 of ‘Section C’ of the tender document.
3. What cleaning materials/ brands are to be used? List of approved brands of cleaning materials are given at ‘Section I’ of the tender document.
4. Whether the bank will provide cleaning materials and equipment? All the cleaning materials and equipment will be provided by the service provider/ contractor firm as mentioned at Para No. 10 (j) of ‘Section H-cope of Work’ of the tender.
5. How to assess the quantity of cleaning materials required for the premises? The scope of quantity of cleaning materials to be used may be determined by the bidders after visit to the respective premises. The intending bidders can visit Bank’s premises after obtaining prior approval from the Bank vide official communication and acquaint themselves of the site conditions before submitting the tender.
6. What will be the working hours and days in a week? Working hours are specified in Para 2 of ‘Section H-Scope of Work’ as 8 hours and 6 days a week.
7. What is the manpower requirement for housekeeping work? The manpower requirement is mentioned at Para 11 of ‘Section H-Scope of Work’ of the tender document.
8. Whether exemption in submission of Earnest Money Deposit (EMD) is applicable for the MSME bidders having Udyam Registration Number? The exemption is not applicable as the estimated cost of the tender exceeds ₹10 lakh. As per extant instructions, the relaxation is applicable only to Micro and Small Enterprises (MSEs) having Udyam Registration Number (Udyog Aadhar Memorandum Number) in all the procurements (goods, services or work contracts) having an estimated cost up to ₹10 lakh (including all taxes, duties, etc.)
9. What is the scope of work to be carried out by the staff deployed? The detailed scope of work is given at Section H-Scope of Work’ of the tender document.
10. What will be the AMC period? The period of contract is 09 months as mentioned at ‘Section D-Form of Tender’.
11. For what period should Service Charges be quoted? The Variable Component-Service Charges should be quoted for 12 Months.
12. Whether the rates are to be quoted along with GST? The rates should be quoted exclusive of GST as mentioned at ‘Section K-Schedule of Quantities’.
13. The minimum wages are revised in April, whether the revised rates will be paid for the staff deployed? Yes, the revised rates will be paid for staff deployed as and when notified by the Office of the Chief Labour Commissioner.
14. What is the time limit for settling the bills? Payment of bills will be made through NEFT/RTGS within 45 days on submission of correct invoice along with requisite documents.

Note: Above amendments / clarifications are issued for the information for all intending bidders. Minutes of the pre-bid meeting shall form part of the tender. All other parts of the tender document continue to remain unaltered. Hence, it shall be signed and submitted / uploaded along with the tender by the bidders. Submission of bids shall be construed to be in conformity to the bid document and amendments/clarifications.
