Minutes of the Pre-bid Meeting

1. Sealed Bids are invited from OEM (M/s Bluebox) / OEM authorized Service Providers for Comprehensive Annual Maintenance Contract for 2 Sets (1 Working + 1 Standby) of Precision Air Conditioning Systems Installed at Reserve Bank of India, Plot No. 16 & 17, IT Park, Dehradun. The “Terms and conditions” are given below.

2. Participation of M/s Marco Equipments & Projects Pvt. Ltd. (erstwhile CAMC Service Provider) in the bid/ Tender will be outrightly rejected due to earlier abandonment of work/ non-performance of CAMC on their part.

3. The bid should be submitted in a sealed envelope super scribed with “Comprehensive Annual Maintenance Contract for Precision Air Conditioning Systems” after duly filling, signing & stamping each page of this document along with the proof of submission of prescribed amount of EMD and addressed to “The Regional Director, Estate Department, Reserve Bank of India, Plot No. 16-17, IT Park, Sahastradhara Road, Dehradun - 248013”.

4. Prebid meeting shall be held on December 01, 2025 from 12:00 PM to 01:00 PM at the above mentioned address.

5. The bid should only be submitted in the Quotation Box of Estate Department, placed in the Reception Area at the above-mentioned address.

6. The last date for submission of the bid is December 08, 2025, up to 03:00 PM. The quotations will be opened on December 08, 2025, at 03:15 P.M.

7. The bidders are advised to submit ₹3,800/- (Rupees Three Thousand Eight Hundred only) as Earnest Money Deposit (EMD) through NEFT to the following account on or before December 08, 2025, up to 02:30 PM:

• Beneficiary Name: Reserve Bank of India, Dehradun

• A/c No. 186003001

• IFSC Code: RBIS0DNPA01 (5th and 10th characters are “ZERO”)

(Please mention your firm / company’s name in NEFT transaction remarks)

8. This amount does not bear any interest and is refundable in nature. Please note, that the EMD submitted by the unsuccessful bidder will be returned within 07 working days after issuance of work order to the successful bidder. The EMD submitted by the successful bidder will be returned within 07 working days after submission of Performance Bank Guarantee as per conditions mentioned in this document. No interest will be paid on Security Deposit.

9. Bank reserves the right to reject any or all the bids without assigning any reasons whatsoever.
