The pre-bid meeting for the captioned work was conducted at Meeting room, 2nd floor, RBI, Ahmedabad on April 21, 2025 at 11:00 am. The following staff members of RBI and prospective bidders were present during the pre-bid meeting:

Following queries were received and clarified by the Bank:

1 What will be the process of delivery of credit slip? Credit slips issued by the Bank’s Medical Consultants (BMC) for retired/ serving employees/ eligible dependents (with their name, address and phone number) based on the prescription of their doctors, will be delivered to the vendor and the vendor has to deliver/ door-step deliver the medicines to the office/beneficiary as per the timelines of delivery mentioned in our tender document.
2 What is the billing process? The original bills raised against the credit slips (along with the original credit slips with acknowledgement of the recipients) shall be sent to CES, RBI, Ahmedabad on monthly basis for payment.
3 What if the brand prescribed by doctor is not available with chemist? Exact medicines should be supplied and any alternative equivalent medicines may be supplied only with prior approval of the BMC.
4 What is the validity of contract and will the contract be extended? The contract will be valid for a period of one year i.e., April 01, 2025 to March 31, 2026 and as per the extant terms and conditions, the contract is not eligible for extension.
5 Will the discount be fixed across all the categories? It was clarified that single/ uniform discount rate quoted by the bidder shall remain fixed across all the categories/brands of medicines.
6 In case of emergency, can the medicines be collected from chemist’s shop? If so required, on receipt of credit slip/intimation and instructions from the BMC, the vendor may deliver the medicines to the beneficiary under a valid receipt.
7 In whose name shall the bill/s towards the credit slip be raised? All bills for the medicines supplied against the credit slips are to be raised in the name of Reserve Bank of India.

AGM (CES) advised the vendors to read and understand all the terms and conditions of the tender before submitting the rate quotes on MSTC portal. He also apprised the vendors that, in case of any technical issues pertaining to MSTC site, the contact details of MSTC are mentioned in the tender document. Further, the vendors were advised to strictly follow the timelines as mentioned in the Notice Inviting Tender and not to wait for the last date for quoting their price bids to avoid any last-minute issues.

The meeting concluded with the vote of thanks to the Chair and the participants.

Note-

1. This document (Minutes of the Pre-bid meeting) shall be treated as a part of the tender/ agreement.

2. The rest of the Terms and Conditions and specifications of the tender document shall continue to remain the same.

3. The above clarifications are issued for the information of all the intending bidders.

4. The submission of bid by the firm shall be construed to be in conformity to the bid document and amendments/ clarifications given above.
