A Pre-bid meeting for the captioned tender was held on February 20, 2025, at 12:00 PM at the VC Room, RBI Jammu through offline mode.

3. The queries asked by the participants during the meeting vis-à-vis the clarification given by the Bank are given below:

1. What are the manpower requirements for delivering services? It was clarified that as per para 4 of Terms and Conditions specified in the tender document, the caterer shall be free to employ as many workers as required to satisfactorily provide the services mentioned. However, the Bank shall ensure payment of minimum wages only to 08 workers, as per prevailing rates.
2. Clarification was sought regarding reimbursement of cost for refilling of commercial LPG cylinders? It was clarified that as per para 15 of Terms and Conditions specified in the tender document, the Bank shall reimburse the cost for refilling of commercial LPG cylinders per month on presentation of bills.
3. Whether the price of tea is different for officers and class III and IV staff members? It was clarified that the price of tea is same for all staff members, as specified in the indicative menu of tender document.
4. During Saturday and Sunday whether OLDR and Staff Canteen remains functional? It was clarified that as per para 3.xi of Terms and Conditions specified in the tender document, the OLDR and staff canteen shall be open only during normal working hours of the Bank. However, if required by the Bank, the services will have to be provided beyond office hours.
5. Will the wages to be paid to the workers be revised as and when minimum wages are increased or kept same for the period of the contract? It was clarified that as per para 4 of Terms and Conditions specified in the tender document, wages will be subject to revision, as and when the rates are revised by Government of India.
6. Is it necessary to accept Sodexo Meal Cards from staff members for lunch? It was clarified that as per para 13.iii of Terms and Conditions specified in the tender document, the caterers shall make all efforts to accept online/electronic payments and shall provide infrastructure for the same viz. POS machine, Sodexo EMC machine, etc. The caterer should have an affiliation of M/s. Sodexo SVC India Pvt. Ltd. and sell lunch to the staff members against payments by Sodexo Meal Card or other card / cash or payments.
7. What is the average consumption of lunch in OLDR and Staff Canteen? It was clarified that as per the indicative estimates of quantity mentioned in the tender document, the annual consumption of lunch in OLDR is 4800 plates and Staff canteen is and 8640 plates.

4. Bidders were apprised to ensure uploading the tender well before the last date to avoid any last-minute errors/rush.

5. All the above clarifications provided by the Bank during the pre-bid meeting shall form part of the Tender/Contract.
