Extension of Last date for Submission (e-Tender No - RBI/Nagpur Regional Office/Others/3/24-25/ET/879) The Prebid meeting for the captioned tender was held on February 19, 2025 at 12:30 Hrs through CISCO WebEx. The following queries/proposals were raised in the pre-bid meeting: | S. No | Query/Proposal | Clarifications furnished by the Bank | | i. | How much area to be covered under the contract and all services are to be provided under the contract? Is there a minimum manpower requirement? | You are advised to kindly refer to Section I “Scope of Work and Schedule of Quantities” (Page No. 46-50) for the details. It should be noted that in addition to the periodic treatments as mentioned in the said Section, the contractor is required to attend to on-call pest control treatment as and when required by the Bank at no additional cost. There is no minimum manpower requirement specified by the Bank. It may however be noted that not all workers may be given their weekly off at one day. Accordingly, at least one worker must be available to perform duties even on Saturdays and Sundays. You may evaluate the Bank’s requirement by performing a site visit of the Bank’s premises and decide the manpower to be deployed to meet the contractual obligations effectively. | | ii. | Kindly indicate the timing of pest control in office premises. | Pest control at office premises is required to be carried out during as well as after office timings on working days. Also, in case of any special requirements, pest control treatment is to be provided on an on-call basis on Saturday and Sunday as well. Further, it may be noted, that as indicated in the tender document, rodent control treatment is an ongoing requirement. Accordingly, pest control staff is required to visit the Bank on daily basis to check the rodent traps and change the baits. | | iii. | Can we use mechanical trap for rodent control? | Bank is satisfied with the effectiveness of the existing cage traps being used for rodent control. Accordingly, the contractor is advised to provide similar cage traps for rodent control. However, any other measures/ equipment may be used for rodent control as per requirement. | | iv. | In Colonies, if flats are locked during the visit, do we have to carry multiple visits for carrying out pest control treatment? | Pest control staff will have to make multiple (nearly 4-5 visits per month) in each colony to ensure that pest control is carried out at every flat. You must mention dates of visit in your service sheet. Most of the quarters are usually locked during office timings and on weekends. So, it is advised to ensure that manpower is available after office hours on weekdays as well. Further, efforts must be made to carry out pest control in each flat within the first fortnight of the month. | | v. | What all documents are to pe produced in support of Bid evaluation criteria no. 4 (in case of tie)? | Tenderer will be required to produce work order/ agreement, TDS certificates and Bank statement showing receipt of payment against the claimed work in connection with total No. of works in hand as on date. However, it may be noted that this criteria will be applicable only in case of multiple least bidders (L1s). | | vi. | What is the procedure for site visit? | Intending tenderers are advised to perform a site visit at their own cost on or before the last date of submission of tender during office hours (preferably from 10:00 Hrs to 15:00 Hrs) on the Bank’s working day (Monday- Friday). You may send an email in advance carrying the names and contact number of the personnel identified for visiting the Bank premises. Kindly ensure that the personnel visiting the Bank must be carrying their valid photo ID Card. | | vii. | Will you seek justification in case of extremely low quotes? | Yes, to ascertain the reasonableness of the bid, the Bank may, at its discretion, ask any bidder for a clarification of their bid. The clarification so called, should be given with detailed price analysis containing the cost of all the materials, chemicals, equipment, machines, liveries, compliance of statutory requirements (Contractor All Risk Insurance, workmen/ employee compensation Insurance, Third Party/ Public Liability Insurance, Bonus Act (if applicable) etc.) and other administrative charges etc. required to complete the work) and should be supported with quotations received from the suppliers/ providers of the above mentioned goods and services. On scrutiny of the clarification so submitted, if the rates quoted by the tenderer are found not workable/ feasible, the Bank reserves its right to summarily reject such tender. Failure on the part of the bidder to provide such clarification within the stipulated time, may entail cancellation of the bid of such bidder. | | viii. | What is the EMD Amount for participating in the tender? | EMD Amount is ₹19,080/- (Rupees Nineteen Thousand Eighty Only). | 3. Additionally, it was informed by the Bank that Micro and Small Enterprises having Udyam Registration Number (Udyam Aadhar Memorandum Number) irrespective of category are exempt from submission of EMD. In this connection, the following amendments/corrigenda in the Tender document is notified: | S. Under no circumstances, EMD will be accepted in the form of fixed deposits of the bank, cheque or cash.
