Minutes of Pre-Bid Meeting - Supply of medicines at Bank’s dispensaries in Thiruvananthapuram for the period April 2024 - March 2025

The pre-bid meeting for the captioned tender was held on April 01, 2024 at 11:00 AM in the Conference Hall, 2nd floor, Main Office Building, Reserve Bank of India, Thiruvananthapuram.

The meeting was conducted to apprise the vendors of the important aspects of the captioned e-tender and to address their queries and sensitize them about the Bank’s requirements and expectations.

The meeting was chaired by Shri Haridas P G, Assistant General Manager, HRMD. Officials from Central Establishment Section (CES), HRMD and representatives from M/s Sree Chitra Enterprises and M/s Divya Medicals participated in the meeting. List of participants is detailed in the Annex.

Shri. Santhosh A Koshy, Assistant Manager, Establishment Section welcomed the participants to the meeting and invited for queries from the prospective bidders regarding the captioned tender.

The queries raised by the prospective bidders during the meeting along with the Bank’s clarifications, comments, corrections and additions are tabulated below.

1. Whether all the documents required to be uploaded online or can be submitted directly to Office. Document submission is through online mode and the vendor must take steps to ensure that the documents are uploaded before the due date and time set for submission of the documents.
2. Issues related with uploading documents in MSTC website. In case of any difficulty, get in touch with the authorised contact persons of MSTC, whose contact details are provided in the tender document.
3. Whether last date for submission of technical and financial bid is same. The last date for submission of both technical and financial bid is April 24, 2024 02:00 PM.
4. Will there be any site inspections by RBI in the premises of the successful vendor. No premises inspection is conducted by RBI. However, proper scrutiny of documents submitted in proof of eligibility and adherence to the terms and conditions of the contract will be ensured.
5. Whether all the medicines in the list will be procured or not. List of medicines provided in tender document is indicative only.
6. Whether Banker’s Certificate needs to be for an amount equivalent to the contract value. Banker’s Certificate has to be issued for the contract amount, i.e. ₹2.5 crore. Also, the Income Tax Return (ITR) for the last three financial years need to be submitted.

Please note:

(i) This document (minutes of the Pre-Bid Meeting) shall form a part of the tender.

(ii) Rest of the terms and conditions and specifications of the bid document shall continue to remain the same.

(iii) The above amendments/ clarifications are issued for the information of the prospective bidders.

(iv) The submission of bid by the firm shall be construed to be in conformity with the bid document and amendments/ clarifications given above.
