Minutes of Pre-bid meeting - Tender for Provision of cabin furniture at 9th floor of Bank’s Central Office Building at Fort, Mumbai

In terms of Schedule ‘E’ of Part-I of the tender document for the captioned tender, a Pre-bid meeting was held on March 28, 2019 at 11:00 A.M. at 5th floor, Central Office Building, Reserve Bank of India, Fort, Mumbai - 400 001.

The pre-bid meeting was attended by the representatives of the following vendors for cabin furniture.

1. M/s Godrej Interio (Senior Agency)
2. M/s Frontier Modular Designs
3. M/s. Mansarovar Industrial Corporation

In the meeting the following officials of Premises Department were present:

1. Mrs Maneesha D. Sharma, DGM (Arch)
2. Mr A.O. Bahalkar, AGM (Tech)
3. Mr Chandan Roy, Mgr (Tech)
4. Mrs Sushama Rokade, AM (Civil)
5. Mrs. Rashmi Gehani, AM (Gen)

The following points were discussed in the meeting:

General terms and Conditions:
1. Submission of tender forms and annexures The parties were instructed to upload the tender Part I and all the annexures duly filled in alongwith supporting documents well in advance of the last date to avoid last minute hitches and errors.
2. EMD EMD in the form of Demand Draft should be drawn in favour of Reserve Bank of India, of a Scheduled Bank or Bank Guarantee as per proforma annexed hereto shall be deposited in original at the office of tender inviting authority on or before the due date 22/04/2019 and up to 1:00 PM.

Proof of remittance indicating transaction number and other details shall be uploaded on Bank’s approved e-tender portal along with other tender documents.
3. Tender Drawings Tender drawings will be mailed to the agencies who have attended the pre-bid meeting as same is not available on RBI website.
4. Non availability of Format 1A as a part of tender part I It was clarified that, details of List of Technical Personnel, their Technical Qualifications, and Experience including that in RBI is to be given In Format 1 A which is not required in captioned work. The bidders are requested to give their firm/ organisation details in Format 1 only.
5. Mock up It was clarified by DGM (Arch) that the mock up should be made referring technical specifications. Material sent to site should be of same specifications and sizes as the sample approved by the Bank.
6. Furniture sizes It was clarified that the before the start of manufacturing process, the bidder should take site measurements and as per the available size furniture to be made. There will be no change in the quoted price due to minor variation in size if any.
7. Time period It was clarified that time is essence in the captioned work and it needs to be manufactured and delivered at site within scheduled time.
8. Design of modesty panel The design of modesty panel to be provided is shown in the drawing no. BOM 1140 sht no. 16. Vendors have been advised to furnish the details of their available pattern with the Part I of tender.
