Pre-bid meeting - Printing and Supply of Diaries 2018

Pre-bid meeting with prospective bidders for Printing and Supply of Diaries- 2018 held at 3.00 pm on September 12, 2017 in the Old Conference Room, 1st Floor, Main Building, Fort, RBI, Mumbai. Seven prospective bidders attended the pre-bid meeting.

2. The queries raised by the prospective bidders and clarification/reply are as follows:

1 Whether there is any need of submitting documents w.r.t. office/set-up located in Mumbai? Yes. Relevant documents, such as recent work orders/contracts/returns/agreements, etc. and an affidavit, should be submitted as a proof of office/set-up located in Mumbai. The Bank may verify the address and other details, if required.
2 What is the quality and colour of the galley cover? Besides the specifications provided in the tender document, it is clarified that the quality of the galley cover should be equivalent to “Metal X DIAGO – CMD46829-titanium” PVC paper. A sample of the galley cover will have to be provided along with technical bid. Sample of the galley cover can be obtained from the department before submitting the technical bid.

The Bank will assess the quality of the sample of the galley cover and the one not conforming to our requirements (texture, fineness, colour, etc.) may face disqualification in the technical bid. Minor deviations in the colour/specifications of the galley cover may be subject to acceptance by the Bank.

The vendor will submit certificate containing details of the agency from which the cover will be procured.
3 No clearance certificate are issued by Government Authorities for Sales Tax, Income Tax and Work contract Tax, Excise, GST etc. Whether returns for these taxes would be accepted for the purpose? Yes. Copy of duly acknowledged returns of Sales Tax, Income Tax and Work contract Tax, Excise, GST etc. will be accepted in lieu of clearance certificate.
4 What type of courier services may be used for dispatch and delivery of diaries? Surface courier should be used for dispatch and delivery of diaries. However, If the delay in production/printing of diaries is attributed to the vendor, due to which the consignments are sent by air, even then the Bank will pay only normal courier charges as applicable for surface courier.
5 Completion of job (including delivery) within 30 days of after final approval is very short period. Vendors may be given more time for completion of entire task. Prospective vendor will be provided 30 days for printing of diaries after our final approval for production of diaries. Another 15 days will be provided for delivery of diaries to north eastern locations. For delivery to locations other than north eastern area, 7 days will be provided.
6 What will be the quantity of additional order and what will be the timelines for supply of the same? Additional order of up to 25 percent of the existing order, subject to minimum of 5,000 diaries, will be placed with the vendor. Additional order should be supplied within one month (including delivery) of placing order.

Note: Provisions of original tender document for “Printing and Supply of Diaires-2018” will be considered amended to the clarifications provided for the above queries.
